Custom Relationship Management:

Managing client data is vital to enabling you to provide a high level of responsiveness and service to your clients and to maximize your sales opportunities and create a more efficient business.

The sort of data you need to be able to store and easily access and manage includes:

  • contact information
  • sales related data
  • contact activity
    e.g. phone calls, appointments, emails and their contact with your business through your website, etc
  • classification data
    e.g. their business type, their unique needs, etc.

We have created a system that is fully integrated with your website to enable you to easily access and update this vital data without the need for double handling. For example, clients can come onto your website and register themselves automatically (see Automated Client Registration)

During this registration process you can survey them to gain invaluable knowledge about them as an individual and about their company (see Custom Survey & Custom Admin Fields)

Once they are registered on your system, you can more closely define or categorize them by adding custom fields that only you or your authorized staff can view. These can include note fields (containing many pages of notes and data), tick boxes, radio buttons, drop down select boxes and small text or number fields - i.e. you can store any information on your client in any format into the database. It is the same as the custom survey above, but now you are asking yourself instead of your clients questions (see Custom Survey & Custom Admin Fields).

Clients can also be imported into the system from almost any other database system or application - e.g. Outlook, Excel, Act, etc. (see Import Clients).

Once you have data stored on a client you can use our smart query reporting engine to query the database based on any information field related to that client - e.g. Country, City, Suburb, any custom field you have added (e.g. company type, number of staff, etc) or any custom survey you have created on the registration page or elsewhere on your website (e.g. how they found out about you, what their interests and hobbies are, etc) (see Smart Query/Report).

After locating a range of clients that fit your criteria you can then automatically email them all through our Tracked Broadcast Email system (see Tracked Broadcast Emails).

Through this system one email is sent to each client's email address (i.e. the same email address will not receive two emails) with the client's first and last name and, if required, their full login details merged into the email - e.g. Dear John Smith, etc. (see Automated Name/Login Details Merge).

The system automatically records who was sent what email and, without the client's knowledge, stores how many times they read the email and when they last read it (see Automated Email Logging).

This data combined with viewing the client's full activity on your website is invaluable in tracking how effective any marketing and promotional campaigns have been - as well as for many other reasons such as chasing up late payments. The site automatically stores any registered client's fully activity (see Automated Client Activity Tracking).

From this data you can quickly see whether a client has responded to your email by pressing on a link that you had within it that took them back to a page on your website, etc.

This fully automated and fully integrated tracking system can quickly become one of your most powerful sales and marketing tools.

The CRM System also has a full online (i.e. accessible anywhere there is a computer attached to the internet) outlook style diary and is also fully integrated into the rest of the system (see Online Diary)

This includes four different type of alerts (see above) and the ability to add a client and their details from within the system by simply double-clicking on the appointment and choosing a client from a drop down list of names.

Appointments can be simply dragged to different times and expanded by dragging on the bottom of the appointment.

Built-in is also an automated Statement/Invoice system for tracking client sales (see Automated Online Invoices & Statement).

This system also has a basic Point Of Sale System for creating invoices and entering client payments manually. It also has a simple way of tracking and chasing up overdue accounts.

This deceptively simple system has many more uses than simply those outlined above. It is capable of having almost unlimited licensed users with their own online diary, client linking, sales tracking, etc. This is especially useful for companies with sales teams in the field, as they can now be fully automated and integrated 24/7 into your companies sales system and accounting system through a simple wireless connection to the internet on a laptop.
